Make sure you have switched it off and unplugged it before you begin though. With a damp cloth, wipe the machine gently and thoroughly.  Make sure that you have dusted it first because if you mix the dust with water it will form mud, you do not want to deal with that! Do not use too much water either as you do not want it getting into the machine.

Internal cleaning is a bit more technical. You should get a special kit from the manufacturer or a local office supply store. This kit is supposed to contain lubrication rods, lens covers, wipes, rollers and a set of instructions on how to use them.  Read the instructions and follow them carefully. Focus on the printer head, as this is where most dirt problems manifest.

  1. Protect it

Simple things can help you in ensuring that your printer is safe from damage. Switch it off every time you are not using it and cover it with a cloth to prevent dust settling on it. Many people remember to switch off their computers but not their printers, this leaves the printer heads exposed to dust, which causes them to malfunction.

Keeping your printing paper inside the packaging at all times is another thing you can do to protect your printer. The packaging acts as a protective cover for the paper. If you leave it out in the open, it will be exposed to particles, which it will then transfer to the insides of the printer.

Use your printer regularly as well. Just as it is with any machine, the printer will become redundant if not used for too long. Give it a good workout now and then.

  1. Service it

Hire a professional every occasionally to service your machine. They will be able to better clean it out, discover any developing problems, and address them before it is too late. If you have an expensive printer especially, you should allow an expert to service it so that it can keep running in tiptop condition.

  1. Move it carefully

Everything you have done to keep your printer working all right will all go to waste if you drop it just once while transporting it. It is an accepted fact that you may need moving your printer to another location at one time or the other, but how you handle it in the process will really determine how much service it will give you.

The first thing you need to do while transporting your printer (and any other office machinery as well) is to pack it properly in its box, you should not throw it away. Disconnect all the cables and pack them inside the box. The cartridges can be left installed within the printer while transporting unless you notice a problem with them. Once you have packed the machine properly, carry it carefully! You seriously do not want it to drop it.

As you can see, maintaining your printer is not a difficult task. Most of these tips do not even need you to spend your money but just some time and your printer will reward you back by giving you a lifetime of service!
